Getting Started with Integromat

This tutorial will guide you on how to export data to Google Sheets by Integromat.

Integromat will automate processes that you currently handle manually. It is capable of connecting apps as well as transferring and transforming data. Please check a list of supported apps.

Supported triggers

  • New Checkpoint Record: Triggers when a new checkpoint record is created
  • New Subscriber: Triggers when a chat user becomes a subscriber of the chatbot
  • Updated User Attribute: Triggers when a specified User Attribute has been added or updated audiences
  • New Request for Human Takeover: Triggers when a user request to talk to a human operator/ live agent
  • New Tag on User: Triggers when a new tag is added to a user

How to integrate BotStar and Google Sheets

New Tag on User event type is used when a user is tagged with a new tag. The system will send out tags and users' information.

In this example, we will show you how to integrate BotStar with Google Sheets through the Webhook in Integromat to collect chat users' data when they are labeled a new tag or defined tag. Webhook in Integromat is a type of Trigger Module, more exactly, Instant Trigger, which let you get the data immediately.

1. Prepare Google Sheet

Prepare a Google sheet to manage the new tag on users as below to get data.

2. Find webhook service

Log into Integromat, and click on Create a new scenario. Then, look for Webhook and click Continue.

3. Choose a webhook type

Integromat will ask you to select the type of Webhook, choose Custom Webhook.

4. Configure webhook

Click on the newly added application and press the Add button in the Webhook. Integromat will generate a link, please copy that link. At the same time, Integromat will wait for the data that you send to a created link. Then it will structure the return data and identify the fields.

5. Enable Integromat in BotStar

In BotStar App, go to Integrations and enable Integromat. Then, choose the Even Type to enter the link you got from Integromat, and save it.

6. Create a sample tag

You can create a tag to check the integration, so the webhook in Integromat will create a structure to transform the data.

7. Check if webhook is working

After defining the data structure, Integromat will show "Successfully determined" as in the photo below.

8. Connect Google Sheets

In Integromat, find and select Google Sheets as the next application to save data from BotStar.

9. Fill in sample information

As you see in the photo below, on the left side is the defined data and on the right side are corresponding titles in your Google Sheets.

10. Add Directive to solve errors

To handle the data errors and avoid interruption while running, right-click on the Google Sheets application and set Directives as Ignore to ignore the data errors while receiving.

11. Overview of a scenario

Below is an overview of extracting data from BotStar and adding it to Google Sheets via Integromat. Please press the Save button to save this activity stream, then select the Run button in the lower-left corner to test the data before activating this scenario.

12. View the result sheet

Creating a tag named test2 in BotStar through the Integromat configuration that will extract the data as in the photo below.

13. Enable Scenario

After completing the above steps, turn on Scheduling and select the time Immediately to activate the scenario and data will be returned to the Google Sheets immediately.

Advanced filter in Integromat

While working with some events, sometimes you need to filter to get the data that matches some particular requirements.

Click on the “Wrench icon” in the middle of the link between Webhooks and Google Sheets, then select Set up a filter.

You can filter the data by entering the condition field, including the fields and the values. As shown in the photo below, filter the tagName with hero.

After installing the filter, only the incoming requests in which tagName is hero will be forwarded to Google Sheets and saved.
